Almost nothing in this trade is a generic enquiry. Somebody is asking about one specific vehicle, and that vehicle is either on your forecourt or it went on Saturday. An automation that answers confidently from yesterday’s stock export is not a small problem — the correction lands after somebody has driven forty miles, and you have spent your reputation to save a phone call.

Sales and service want opposite things
These arrive through the same channels and look similar for about one sentence, after which they have nothing in common.

Rows one and two are the split that matters. A sales enquiry is somebody choosing to spend thousands and a service enquiry is somebody with a problem, and sending both to the same place means one of them always waits. Routing them apart, correctly, before anybody reads them, is the largest single improvement available here and it needs no clever technology at all.
Live stock, or say you will check
The rule we would apply is short: if the automation cannot see your stock system as it is right now, it does not get to answer availability questions. It takes the name and says somebody will confirm within the hour. That sounds like a weaker product and it is a considerably better one, because the alternative is a confident wrong answer about a car that sold on Saturday.
Where a live connection does exist, this becomes the strongest automation in the trade. An enquiry at half past nine at night about a specific registration, answered accurately, with two viewing slots offered from the real diary, is a booked appointment that would otherwise have been a voicemail and then a competitor.
Service is a different build with a different rhythm. The questions are repetitive and factual — what an MOT costs, whether you can collect, how long a job takes, whether the car is ready — and the wins come from volume rather than from value per enquiry. It also has the single most requested feature nobody builds: telling the customer the car is ready without waiting for them to ring and ask.
What we will not build is a valuation, a part-exchange figure or anything touching finance. A number attached to somebody’s car is a judgement your business is accountable for, and finance is a regulated conversation. Those stay with people who can be held to them, and this page names no regulator because which one applies depends on your business.

Sent when it becomes true rather than waiting to be asked. It removes a whole category of incoming calls and it is the thing customers notice most, which is a rare combination.
Missed Calls Become Callbacks
The enquiry that rang during a handover, captured with a name, a number and which vehicle. A voicemail nobody returns is the most expensive thing in this trade.
A Hard Stop on Money
No valuations, no part-exchange figures, no finance. Those are judgements your business is accountable for, and a number produced by a system nobody can question is not one you want in writing.
