AI Automation for Dealers & Distributors

They Already Know the Part Number. They Want Three Answers.

This is the one sector where the customer frequently understands the product better than whoever answers the phone. They are not browsing and they do not need persuading. They want price, stock and lead time, in that order — and every minute spent on “let me find out and come back to you” is a minute they spend getting the same three answers from somebody else.

The Numbers First

Two are easy. The third is the whole problem.

Stock and lead time are lookups. Price is a question about who is asking, and that is what makes this sector different.

  • “Do you have it?”A lookup, if the system is connected
  • “When can I have it?”A lookup, plus supplier reality
  • “What is my price?”Depends entirely on the account
  • “What fits / what replaces this?”Cross-reference and supersessions
  • “Where is my order?”Asked constantly by the same accounts
  • A repeat order, same as last timeShould take ten seconds

Row three is why generic e-commerce automation fails here. Your price is not a number on a product; it is a number for a relationship — contract terms, volume breaks, account status, sometimes a hand-negotiated line. Showing the wrong customer the wrong price is a commercial incident, not a glitch, which is why the rule on this page is absolute: authenticated and connected to the real pricing, or it does not quote at all.

Straight Talk

Authenticated and connected — or no number

The rule has no exceptions. If the system cannot confirm who is asking and cannot read their actual pricing, it does not produce a figure. It confirms the item, confirms stock and lead time if it can, and puts the price question to a person. That is deliberately less impressive than a chatbot that quotes instantly, and it is the version that does not cost you a contract.

What automation does exceptionally well here is the cross-reference. “What replaces this discontinued part” and “what fits this machine” are the questions that consume your counter staff, they have definite answers held in your own data, and answering them accurately sells more than any marketing on the site. It also converts an enquiry that would otherwise leave, because a customer who cannot identify the right part will buy it from whoever helps them identify it.

The repeat order is the other obvious win and the most neglected. An account that orders roughly the same things on roughly the same rhythm should be able to reorder in one exchange rather than by ringing and reading out a list. Where you can see the history, that is a short build with an immediate effect on how easy you are to buy from.

On stock, the discipline is the same one our e-commerce page sets out and we will not repeat it: if the number cannot be read live, do not assert it. Saying “I will confirm within the hour” to a trade buyer is a perfectly normal answer. Saying “yes, twelve in stock” when there are none is how an account gets lost.

  • No account, no price — Absolute. It confirms the item and hands over.
  • Cross-reference is the best build — Supersessions and what-fits, from your own data.
  • Repeat ordering in one exchange — Short build, immediate effect on ease of buying.
  • Do not assert stock you cannot read — “I will confirm within the hour” is normal here.
  • The buyer is the expert — Write for somebody who knows more than your website.

What we build for a distributor

Six builds for a buyer who already knows what they want.

01

Cross-Reference and Supersessions

What replaces a discontinued line, what fits a given machine, what the equivalent is from another manufacturer. Definite answers from your own data, and the single largest drain on counter staff.

02

Stock and Lead Time, If Readable

Live from the system that knows, including the honest answer when a supplier date has slipped. Where it cannot be read, it promises a confirmation within the hour rather than guessing.

03

Price Only Behind an Account

Authenticated, connected to your real pricing, or it says nothing and passes the question to a person. There is no tier and no discount at which we relax this.

04

Repeat Orders in One Exchange

“The usual, but twenty of the second one” — understood from the account’s own history. It makes you easier to buy from, which in this trade is most of the competition.

05

Order Status Without the Call

Where it is, when it ships, what is on back order — answered on demand and pushed when something changes. The same accounts ask this daily.

06

Quotes Assembled, Priced by You

Multi-line trade quotes drafted from an enquiry with the items identified and quantities confirmed. Somebody who knows the account sets the numbers before it goes out.

— Our Proprietary Methodology —

The Visibility Framework™, applied in Dealers & Distributors

The method doesn’t change by market. What it’s pointed at does.

Step 01

Audit The Hours

Where time actually goes, task by task, scored on volume, repetition and the cost of getting it wrong. Ends in a ranked blueprint with estimated hours saved — yours to keep either way.

Step 02

Design The Guardrails

Before any building: what the agent may touch, where a human must approve, what happens when it is unsure, and which data is never allowed near a third-party model.

Step 03

Build & Evaluate

One workflow at a time, in your accounts, scored against real examples from your business before it touches live work. Shipped early so it meets reality while it is still cheap to change.

Step 04

Run & Improve

Monitored for cost, failures and quality drift. Models change, your business changes, and an automation nobody tends becomes a liability rather than an asset.

Honest, No-Nonsense Commitment

If the audit concludes that a task is not worth automating, we will tell you and refund the difference rather than build it anyway. And if a workflow we built does not hit the outcome we agreed in the blueprint, we keep working on it at no extra cost until it does or we take it out.

What you’re actually committing to

Most agencies keep this in a contract you only see after the sales call. We would rather you knew now, because it is the question everyone asks second — right after the price.

  • The audit is credited, not sunkPay for the audit, and the full amount comes off the build if you proceed. If you don’t, the blueprint is still yours to hand to anyone else.
  • A fixed build price after the auditQuoted once we know what we are building. If it takes longer than we estimated, that is our risk — the price only moves if you change the scope.
  • You own everythingAccounts, API keys, workflows, prompts, evaluation sets, logs and documentation — all in your name from day one, and still yours if we never work together again.
  • Running costs are yours and visibleAPI usage is billed by the provider directly to you. We never resell tokens or mark up usage, and you see the real number.
  • The retainer is month to month30 days’ notice, no exit fee. Stop it and your automations keep running — you are simply maintaining them yourself.
  • Human approval is the defaultAnything customer-facing or irreversible needs a person until the evaluation data justifies otherwise, and that decision is yours to make, not ours.

These are the terms as they appear in the agreement itself — nothing here is softened for the website. The full wording lives in our terms and conditions, and you get the agreement to read before anything is signed or invoiced.

Dealers & Distributors AI Automation questions, answered

Can it quote prices to trade customers? +
Only behind an authenticated account with a live connection to your real pricing. Your price is a number for a relationship — contract terms, volume breaks, account status — and showing the wrong customer the wrong price is a commercial incident rather than a glitch. There is no tier at which we relax that.
Cross-reference: what replaces a discontinued part, what fits a given machine, what the equivalent is from another manufacturer. Those questions consume counter staff, have definite answers in your own data, and a customer who cannot identify the right part buys it from whoever helps them identify it.
It changes what the automation may claim, not whether it is worth building. Where the number cannot be read live it says it will confirm within the hour, which is a completely normal answer to a trade buyer. Asserting twelve in stock when there are none is how an account gets lost.
Where you can see their history, yes — "the usual, but twenty of the second one" understood in one exchange rather than a phone call and a read-out list. It is a short build and it makes you materially easier to buy from.
That page is written for consumers browsing a catalogue of identical items, and it owns the support and returns side. Here the buyer usually arrives knowing more about the product than your website does, and wants three specific answers — one of which depends entirely on who they are.
Common, and it decides the scope rather than ending the conversation. What matters is what it can expose and how — anything readable becomes answerable, and anything not readable becomes a fast handover to a person instead of a guess.
