The fifth row includes a timing rule that is easy to miss. The right reply to an angry review is rarely the fast one — an hour later, written by somebody who has checked what actually happened, reads as calm rather than reactive. The one thing automation should do here is stop you replying immediately, which is the opposite of what these tools are usually sold on.

A defensive sentence costs more than the complaint did

The complaint was already discounted by the person reading it. A reply that argues, corrects the record, or explains why the customer was mistaken confirms something worse than the original review did — and it stays there permanently, in public, next to every good review you have. Acknowledging, saying what changed as a result, and offering a private route is a duller reply and a far more effective one.

Where automation genuinely helps is everything except that. Making sure every review is seen and none is missed for three weeks. Drafting the routine responses so somebody with ten spare minutes can approve twelve of them. Grouping what people keep mentioning, which is more useful than any individual review. Alerting a named person the moment something serious appears, so the difficult reply gets written by a human within the hour rather than found on Friday.

On asking for reviews: ask everybody, at the same moment in the job, through the same link. Asking only the customers you think are happy is selection, and it produces a rating that does not survive somebody reading the detail. It is also the practice that gets businesses into trouble on the platforms themselves, and it is entirely avoidable by simply asking everyone.
